OVERVIEW OF SERVICE
COEUS is Drexel University’s electronic research administration (eRA) system used to support research proposal development, award processing, compliance activities, and institutional research administration workflows. The platform enables faculty, staff, and research administrators to manage and track research-related activities throughout the proposal and award lifecycle.
The COEUS Helpdesk Service provides support for system access, troubleshooting, workflow assistance, and general guidance related to COEUS functionality. Support is available for proposal routing and approvals, award processing activities, Institutional Review Board (IRB) protocols, subcontracts, conflict of interest processes, and related administrative workflows.
Use of COEUS and related support services is governed by applicable Drexel University policies, including the Acceptable Use Policy (IT-01), data security requirements, and research compliance standards. Users are responsible for ensuring that all information entered into the system is accurate, appropriate, and compliant with institutional and regulatory requirements.
NOTE: If you are off-campus, Drexel VPN is required to use this service/application.

Who Can Use This Service
The COEUS platform and Helpdesk Service are available for authorized members of the Drexel University research community, including:
- Drexel-paid Faculty
- Drexel-paid Staff
- Approved research administrators and compliance personnel
- Students with approved COEUS access permissions
- Other authorized users with assigned system access roles
Please note that students do not receive COEUS access automatically and must request access through the COEUS Helpdesk process.
Access is granted based on role and business need within the University’s research administration environment. If your Drexel affiliation ends, your access to COEUS and associated services may also be removed in accordance with University policies and access management procedures.

COEUS access and Helpdesk support are provided to authorized Drexel University users at no additional cost.
Getting Started (How Can I Obtain/Start Using It?)
Authorized users can access COEUS using their Drexel credentials through Drexel username and password at https://coeus.drexel.edu/coeus/userAuthAction.do .
To begin using COEUS:
- Confirm that you have the appropriate role-based access permissions.
- Students and other users without existing access should submit a COEUS access request through the Helpdesk process.
- Review available training materials and documentation prior to beginning proposal or protocol activities.
- Contact the COEUS Helpdesk for assistance with login issues, permissions, routing questions, or workflow support.
- Off-campus users accessing COEUS Lite may need to connect through the Drexel VPN.

- COEUS should be used only for official Drexel University research administration, compliance, and business purposes.
- Users are responsible for ensuring that all submissions, records, and uploaded materials comply with University policies, sponsor requirements, and applicable regulations.
- Users should safeguard confidential, proprietary, and regulated information in accordance with Drexel data protection and research compliance requirements.
- All University-related activities within COEUS must be conducted using Drexel-issued credentials and approved authentication methods.
- Users should avoid using browser navigation buttons or improperly closing the system while actively working within records, as this may result in locked proposals or protocols.
- Technical issues, suspected security concerns, or unauthorized access attempts should be reported immediately through the COEUS Helpdesk process.
