Virtual Fax Service

OVERVIEW OF SERVICE

EFAX is Drexel's replacement for traditional telephone fax applications. EFAX supports the secure sending and receiving of traditional faxes over the public telephone network; however, instead of using a "fax machine" and "telephone line" to send or receive your fax documents, your documents are sent or received in your Drexel email account. This allows you to transmit or receive fax documents from any computer, tablet, or smart phone regardless of your location.

DESCRIPTION & FEATURES

  • Eliminates the need to support and to pay for analog telephone lines, fax machines, and fax cards
  • Selected and vetted by Drexel IT and the University's Third Party Risk Management (TPRM) program
  • Approved for use with sensitive information, including HIPAA data

EFAX is now the only way that new FAX service is provisioned.

GETTING STARTED

Contact the Drexel IT Network Operations Center (NOC) 215.895.6666 for more information or select the service offering to get started.

REQUIREMENTS

Each EFAX number must have at least one designated primary Operator or Customer of Record registered with Drexel IT Networking, and optionally may identify a secondary Operator/Customer of Record. These two Operators send and receive faxes directly from their Drexel email. In addition to the two designated operators, an O365 shared mailbox may also be configured, allowing the fax service to be shared with a group. Use of the shared O365 mailbox emulates the way that multiple office occupants share physical access to a legacy fax machine. Departmental operators can request an O365 shared mailbox and can control which Drexel staff members have access to the shared mailbox. Follow these instructions to learn more about and to request a shared O365 mailbox from Drexel IT. This document describes how to access an O365 mailbox once it has been setup. Tip: For infrequent use, it's often easiest to use the Office web portal to access the shared mailbox.

ADDITIONAL INFORMATION

Optional: Using new or existing multi-function devices for transmitting faxes

Many existing printers and scanners can be configured to send documents with the EFAX service. In most cases, if your MFP/MFC is already scanning to email, it can be configured to send documents using the EFAX service. This allows you to scan and transmit a document in a single step. If you wish to maximize the number of pages you can send, scan at 200 dpi in black and white; in this case your scanned attachment can be up to 30MB which will represent approximately 300 pages.

Requirements for using EFAX with multi-function devices (i.e. printers, copiers, scanners): The device must have a connection to the Drexel network and must support sending documents by secure email using SMTPS (port 465) to Drexel’s smtp.mail.drexel.edu gateway. Drexel IT consulting staff can assist you in confirming eligibility and in initial configuration.
