OVERVIEW OF SERVICE
Drexel University provides robust email services to support communication, collaboration, and academic activities for both students and employees. The university’s technology infrastructure ensures secure, reliable, and user-friendly email solutions tailored to the specific needs of its community. Permitted use of Drexel Email is detailed in our Account and Email Terms of Service document and subject to the University's Acceptable Use Policy (IT - 01)
About Email
All matriculated students and Drexel-paid faculty and professional staff are provided with a Drexel mailbox upon affiliation with the university. The email address for this mailbox matches your Drexel username (see Drexel Common Accounts) and is a combination of initials and numbers (e.g. fml234@drexel.edu).
In addition, Drexel adds an official alias to this mailbox known as your Drexel official email or DOE. The DOE uses a long-form format: first.middle.last@drexel.edu (middle name/initial if provided). Both addresses point to the same mailbox and remain consistent throughout your affiliation with Drexel.
Drexel Official Email
The DOE address is your formal identity for university business and is what Drexel uses for all official correspondence. This DOE address is what appears in the University’s administrative systems and online directory. It is also used for official communications, announcements and class mailing lists.
Basic Email Services
The primary email service for all users is powered by Microsoft Office 365 and offers a modern, cloud-based platform with the following features:
- Web-Based Access: Email accounts can be accessed through the Office 365 Outlook web app, through the Microsoft mobile apps (iOS and Android), and other clients/apps using supported protocols. Comprehensive guides and support documentation are available on the Office 365 Email page.
- Integrated Collaboration Tools: The Office 365 suite includes access to OneDrive, Teams, and other productivity tools, allowing users to collaborate on projects, share files, and communicate efficiently.
- Generous Storage: Office 365 provides substantial mailbox storage, minimizing concerns about running out of space.
- Spam and Security Protection: Advanced filtering protects inboxes from spam, phishing, and malware.
- Support: Drexel University IT provides technical support for email access and troubleshooting.
Email Services for Employees
Drexel University employees, including faculty and staff, are provisioned with official university email accounts. The employee email service includes all of the basic email services plus several additional features tailored to professional and operational needs. This is also sometimes referred to as a Cloud + Computer License:
- Microsoft Office 365 Platform: Employee email accounts are hosted on the Office 365 cloud but also include access to the full desktop office suite including the Outlook desktop client.
- Calendar and Scheduling: Robust calendaring features allow employees to schedule meetings, send invitations, and coordinate with colleagues across the university.
- Enhanced Security Controls: Employees benefit from more advanced security policies, compliance monitoring, and encryption to safeguard sensitive information.
- Mobile Device Support: Email accounts can be configured on university and personal devices, supporting secure access from anywhere.
What happens to my Email when leaving Drexel
When students and employees depart Drexel their mailbox is locked and within a short waiting period deleted. The timing of when this happens differs between the 2 groups.
When an employee leaves (whether voluntarily or involuntarily), their manager must submit a [request to disable accounts] as part of the termination process. This includes email, DrexelOne, and other IT services. Once the account is closed, the email address will stop working immediately and any new mail will be returned as undeliverable. Staff and faculty must transfer or backup any needed emails and files prior to the account closing [Termination Checklist]. If access to the mailbox or files is needed after termination date, the manager must submit an [Account Closure Extension] to the Office of General Counsel for legal approval to extend access for up to 30 days.
When students graduate, they are given a new @dragons.drexel.edu address approximately 30 days after graduation [Alumni/Retiree Email Accounts]. Your @drexel.edu addresses are then removed 1 year after graduation. This gives students the opportunity to transition to new addresses and update any contacts, accounts or subscriptions that were setup with the old address. [Graduation Checklist]
Related Services and Service Offerings
- Shared Mailboxes: University departments and recognized campus organizations may request an email account to be used on behalf their organization
- Mailing Lists: Faculty, professional staff, and student organizations may utilize mass email to communicate with small groups or University-wide—all through one email address instead of many.
- On-Demand Mailboxes for unpaid employees: Departments may purchase annual licensing subscriptions for Non-Employee Associates(NEAs), Faculty volunteers and other unpaid employees
- Account Closure Extension: Managers may request account closure extensions for up to 30 days past the termination date
- On-Demand License Cancellation: Departments use this request to cancel subscriptions
